Starting point
Management wanted one place where field technicians and office staff could find everything. Instructions, forms and contacts were scattered, and new employees depended on asking around.
Approach
- Roles, not foldersInstead of a folder tree there are three portals: technicians (customer service, requests, safety & regulations, organisation), office and management.
- Build content pagesPages for first aid, contacts, training and a guide for handling customer complaints.
- Digitise requestsWorkwear orders go through Microsoft Forms with an approval workflow in Power Automate.
- Embed appsPower Apps replace lists where a better interface is needed, such as the meeting tracker.
- Support onboardingA bilingual onboarding procedure for field technicians and a script for a safety training video.
Outcome
- One entry point for every employee
- Requests with a traceable approval instead of paper and hallway conversations
- Consistent look with custom graphics and a personalised start page
Technical details
The mega menu wasn’t available due to hub-site registration restrictions in the tenant, so navigation was solved through page structure and tiles. An HTML contact directory wouldn’t render inside SharePoint and was rebuilt as a Power App.
